Improving office communication and efficiency

This month we’ve taken a closer look at inter office communication

Computer telephone integration is a type of
technology that connects your computer with your phone; a seamless integration between two pieces of technology to offer superior services. It supports and supplements business processes that are unique to each company, identifying further opportunities that weren’t available previously.
There are many reasons why organisations get this feature and service. It has a wide range of capabilities and can be put to good use. To name a few benefits, it allows you to:

Improve communications- Both internally and externally with log information, caller details and instant messaging with colleagues
Raise customer service standards-Know who’s calling and bring up their details, go the extra mile and provide that level of customer service your clients want and expect.
Increase reporting within your agency- View live statuses, record log information and capture important data.
Advance efficiency for staff members- Features allow for one click dial, contact card pop ups and call log information.

Other great ways to improve communication within the office:

Use collaborative software- sometimes communication errors can occur because of email correspondence, different attachments and several copies of one document. Using certain pieces of software allows you to work more effectively, and monitor all input from colleagues working on a project. One example is trello, you can create tasks lists, upload documents and allow comments from members of a board.
Video Conferencing- Sometimes distance creates a barrier for communication as you haven’t got the benefits that face to face communication offers. Keep the call personal, and to the point with video conferencing 
Screen sharing software- Sometimes it's more effective to demonstrate and show somebody exactly what you mean rather than trying to describe it to them. Here at dezrez we use in order to help with our clients and deliver excellent service.  
Have an Intranet- Intranet is a good place where you can increase company interaction, uploading documents, participate in discussion and use it as a general point of contact between departments and so on. An intranet is a good way to involve the whole company whether you’re a one brancher or national estate agent.
Use a CRM system- Which stands for customer relationship management. Often estate agents are known for generating new leads and business but not so well at retaining customers and clients. A CRM is a must have if you want to reduce ‘churn‘ and begin offering that superior service that you customers expect.

"I Communicate"

A message from our Operations Manager:

Ok, so normally you would get a message from Wilf our MD in this section. However we thought that mixing it up a little might be a nice idea. So for the next few months several senior members of staff will be sharing their thoughts with you.

I thought I would write about something I am involved in at the moment and that is revamping the tools that we use to better communicate with you as an agent. Since starting at dezrez, online communication has transformed completely. Email, phone and text messaging were pretty much the limit of getting in touch with a customer.
These days the list is long; and growing. With the likes of Email marketing solutions, Facebook, Twitter, Linkedin, Skype, Google+, Pinterest, blogging …. The list goes on.
The learning curve to get to grips with some of these can be steep! It’s one thing knowing how to use social networking on an individual level but another to make it work for you as a business.

This is something we are working hard at trying to improve. In one form or another you may have had some communication from our Marketing Manager, Sabastian. Sab or “Seabass” as he is affectionately known has joined dezrez to aid us in all areas of public communication. 

Sab has the difficult job of trying to juggle what we think we want to say to customers and translating that into a blog, a Facebook update, a 140 character tweet or an article for our newsletter. As you can imagine, with so much going on this is not always easy. If you have any ideas on blogging, tweeting or facebooking just let us know. Also, if you have any thoughts on the industry and would like to write a guest blog or newsletter article please drop Sab an email at

Aside from the social side of things we have been spending quite a bit of time trying to improve our general communication. As you can see our Newsletter has been revamped. We are currently working on the usage report that you receive every month, we aim to make this more useful for each branch to allow you to get the most from dezrez. This will be going through a few phases, you should receive a new look report as part of phase 1 towards the end of August. If you have any suggestions on what you would like to see included in the report, please just drop me an email at .

Finally, you will hopefully have received some emails on all the other things dezrez can do for you and product updates including our new property management product dezrezPM. If you haven’t had any, just let me know!


New developments

We're proud to announce the launch of our azure cloud based software. 

You’ve probably heard the term “cloud computing”, SQL Azure is a type of Cloud Computing where we are able to use the cloud to replace the server in your office. This means you get many of the benefits that Cloud Computing offer. E.g. rather than the expense of paying for a server upfront, you can “pay monthly” with no minimum term. Since you only pay for what you use, there is no need to pay for future capacity. The fact that it’s on the cloud also means that you will never need to upgrade your server again!

We've been busy and have now released polygon map search 

It allows customers to manually map out where they'd like to search for properties on your website. Add a creative and innovative property search dimension to your website which will help impress the customer whilst making it easier for them to carry out searches.

Ever evolving software with a New Property Page bursting with functionality! 

One area that we've developed is the property edit page, redesigning and improving various aspects of it so that the user experience is better and the functionality is improved. Offering more flexibility and customisation than before.

All the existing functionality of the property edit page can be found in the new version but we have also added the following new additions.

Multiple Picture up loader – Highlight several images from your computer to upload in one go. Then click to drag to the correct section on the edit page. Quicker, easier and simple.

Customise your page – You can now rename options and description boxed on the page. For example you can now rename “Description box 1” to “Summary” or “Rightmove Summary” the choice is yours.

Valuation/Website Tabs – Add in websites that automatically value the property on Zoopla or Mouseprice, only one click necessary. Also add in the back end of your website into the page like your and upload your properties faster***(needs citation)***

Room Creation – Choose which way you would like to add your rooms, be it a simple tally or an in-depth view of the property.

Spell Checker – We have added into each description box a spell checker to help make life easier in that busy office environment.

Summary Page – Navigate here to view all the properties key details like marketing stats, matching applicants and viewing/valuations information.

Document Storage – Create a property particular and store it in our document storage for ease of use and record keeping.
